Role Purpose: Provide full secretarial, clerical and administrative support to the Building Management Team inclusive of Engineering Discipline.
1. Deputising in the absence of the Building Manager 2. Support the Building Manager with all aspects of routine correspondence and administrative duties and the efficient running of the management office. 3. Answer telephones, vetting calls and where possible responding to incoming queries. 4. Operate and maintain the computerised help desk facility, updating records and running reports on the Concept 500 system. 5. Liaising with service providers and contractors personnel. 6. Advance good tenant relations and develop a thorough understanding of both their operational requirements and all aspects of those specifications used in the provision of services 7. Assist in front line reception tasks - receiving and directing Contractors, Suppliers, and Visitors to the Management Office. 8. Monitor and effect the replenishment of office equipment and supplies. 9. Schedule meetings, manage the co-ordination of diaries and prepare*service the meeting room facilities. 10. Make minor purchases on behalf of the Building Manager in accordance with the company procurement policy. 11. Administer and reconcile petty cash. 12. Complete various work permits pertaining to the operation of the building for authorisation by the Building Manager. 13. Register invoices and operating an invoice tracking system as required by the Building Manager 14. Carry out building inspections as directed by the Building Manager. 15. Maintain holiday, sickness and overtime records. 16. Assist in the preparation of Management Reports. 17. Undertake "ad hoc" projects as directed
